How to Use the “Save to Zoho CRM” Action in Botassium

If you manage your leads and customers inside Zoho CRM, the “Save to Zoho CRM” action in Botassium allows you to automatically push contact data into your Zoho account directly from WhatsApp automations—without manual export or copy-pasting.

This guide explains how to set it up to create new records as either Leads or Contacts, with fully customizable field mapping.

What is the “Save to Zoho CRM” Action?

The Save to Zoho CRM node is an automation action that sends WhatsApp contact data to your Zoho CRM account, allowing you to:

  • Add WhatsApp leads into your sales pipeline instantly

  • Enrich Zoho CRM records using user responses from automation flows

  • Keep CRM contacts synced and segmented based on real conversations

⚠️ Before using this action, you must click the authentication link inside the node settings at least once to authorize Botassium to access your Zoho account. This is a one-time process per account.

Key Configuration Options

1. Record Type: Lead or Contact

Choose whether to save the WhatsApp user as a Lead or a Contact in Zoho:

  • Use Lead for new potential clients, prospects, or unqualified entries.

  • Use Contact for known customers, existing accounts, or qualified leads.

2. Key–Value Field Mapping

Add one or more field entries that map to Zoho CRM fields.
Each entry consists of:

  • Key: The field name in Zoho CRM (e.g., Email, Phone, Company, Lead Source)

  • Value: The content to save, which can be static text or dynamic variables from earlier in the flow (e.g., @user_email, @Phone Number, @location_city)

You can map as many fields as you like to fit your Zoho CRM structure and workflows.

How to Set It Up

  1. Drag the “Save to Zoho CRM” Node into Your Flow
    Place it after collecting user input or identifying a lead.

  2. Click the Authentication Link
    A button will appear inside the node settings prompting you to connect your Zoho account. This must be done at least once to enable writing data.

  3. Choose Record Type
    Select either Lead or Contact from the dropdown.

  4. Add Key–Value Pairs
    Enter CRM field names (keys) and set values using dynamic variables or static data.

Example:

  • Key: Full Name → Value: @user_name

  • Key: Email → Value: @user_email

  • Key: Lead Source → Value: WhatsApp Automation

  1. Save and Connect the Node
    The node will send the data to your Zoho CRM when triggered during the flow.

Example Use Case

A user requests more information about a service:

  1. You collect their name and email with Ask for Input nodes

  2. Trigger the Save to Zoho CRM action

    • Record Type: Lead

    • Field mapping:

      • Full Name: @user_name

      • Email: @user_email

      • Source: WhatsApp Lead - June Campaign

  3. The lead is instantly created in Zoho for your sales team to follow up
